Oracle Prime Projects - Global Administrative functions-Nectar #3

In Prime, user administration and global configuration is quite differently handled. If you are a core user of Primavera then you can get quick hold on how this complete user administration part is handled in Prime.
Unlike Cloud Primavera, user administration part is not separately handled in Cloud admin app for Prime, all the administrative control parts can be done within the product. Oracle Prime since being a new product launched, they are more possibilities in implementing the new changes and making it more flexible- I have used most recent version of 19.2.3.1 and contents highlighted are based on the same.
Oracle Prime:
Oracle Prime Projects is a leading project and portfolio management tool out in market with advanced capabilities to handle smaller to larger projects, portfolio planning, perform cash flow analysis, handle schedule and risk management efficiently.
I have Implemented Oracle Prime for one of the leading utility customer and in my view Prime is a flexible Project Portfolio management suite, supports lean scheduling / lean task management which is a key aspect that almost every projects tries to adopt as it yields greater productivity, user friendly interface and most importantly a tight coupling between each modules – Right From Project creation -> Schedule, Risk Management ->Budget & cost Planning-> Cash flow -> Portfolio, Spending and scenario analysis.
So to start with, I have taken “Global administration part of Oracle Prime”, and tried to elaborate core functionalities like user creation, Company creation, Profile and permission configuration.
There are 9 key features in “Global administration” that we can make use in Prime Projects, details enumerated below.
Once we login to Oracle Prime Projects, click the module navigator at the top (Next to Oracle Text), and click “Global admin “button to get in to main administration page.

Starting from the top, following are the features/functionalities in Prime Global administration
1. License Usage: This link can be accessed to know how much of license has been procured for each of the services like Portfolio Service, Schedule Service, Field Service and Idea Service. This just a count and it also shows how is current usage- Example if we get 100 license (named user license) for Schedule service but currently if only 10 users are suing the service, it shows 100 in “Purchased “column, 10 in “Assigned” column and 90 in “Available column
Also, Admin users can click each of the service and can see, list of users assigned for better insight as shown below

2. User Usage: This functionality will help organizations to monitor the active users and dormant users. This helps in proactive decisions in further license claiming.

3. Application Settings: This configuration is all about what we see in “Project Schedule Service”. I would say that, this is similar to P6 Application settings where we can mention start day of week, fiscal start of the month, hours per period, no of days per week/month, notation for hours/minutes/seconds etc.
If there are no values set for each of these fields then default values will be populated- hence based on project and organizational needs, you can alter this

4. Privacy: This a new feature being introduced in Prime Project service and it allows to get consent notice & approval for “Personal Identification Information” (PII) related. We can enable this PII policy for all users to get consent notice, users can either accept/Decline the consent which will be visible to admins and adherence action can be taken thereof.

5. Integrations : Prime provides out of box integration with following
P6 EPPM for exchanging the schedule information from P6 to Prime – There are Possibilities that in Prime only high level schedule will be maintained and detail break down in P6- In such case, Project Progress, actual cost can be synced from P6 to Prime.
Oracle Gateway – Gateway acts as a middle ware interface to transport the data from Prime to other enterprise application- Example, if we need capital expenditure data or schedule information data from Oracle Unifier back to Prime or send Project data from Primavera then we can make use of this functionality. If we configure this , we can also use gateway application to transfer the data between two applications.
Microsoft Project -> Like P6 EPPM, Prime Project service can also integrate with Microsoft project. This will help to import the existing MSP projects with ease back to Prime without need of manual pushing.

Details of how Oracle Gateway can be used to integrate Oracle Prime and EPPM:
Valid URL of Gateway API must be given and designated username and password to connect with gateway must be encoded. Once encoded, hit the “Test connection” button to ensure successful connection
There are 2 service that Gateway supports 1. Project Service 2. Global Service
Project Service – This will help in synchronization of Project related parameters like Project headers, Project dates, Project progress, activity details etc.
Global Service – This will help in synchronization of Global data like resources, Enterprise entity between 2 applications.
Note- In Gateway, Field mapping template, business flow and Synchronization Job must be already configured. Once done then in Prime we can select the same job name for synchronization.

6. Configure Labels – This feature is used to change the field labels being shown up in interface, there are 2 options 1. You can change existing system driven field names 2. Add a new field to specific header areas (like UDF).
I believe most of us would go for Option 2, and there is a much better way of doing this than creating .XLIFF file format and pushing the data. I prefer going to specific module area example “Projects” -> Then navigate to summary and settings -> choose section where I want to add UDF and then configure instead of pushing it from Global admin module.

7. User Profile – This feature can be used as a view option where administrator can select any specific user and can check user Permission granted , no of projects and portfolio that the user is currently having access, what level of access the user is having in each of projects and portfolios etc.

8. Company - This is a critical feature that helps set up companies being involved in organization. This includes Parent company, Consulting firm, third part companies and individual users can be created only if company is set up. Based on organizations need users can create as many companies as required.

To create a user, click on any specific company and click add users link.

In General Tab -> You can fill the user details like first name, last name, email. Mobile number etc.
In Apps tabs -> We can specify what specific modules users can access. (like Cash flow, Portfolio
In Permission tab -> We can specify Global Permission set and License that users can have to access modules- Please note, if we do not enable license option but just enable APPs access in apps tab, then users cannot access those module.


9. Global Permission set – This feature can be used to set global permissions for specific user- Please note this is not Project permission, this is just global and governs what users at global level can do , like whether they can monitor admin functions, download excels from each module etc.
Project permissions are done at separate module which is handled quite different in Prime from other EPPM applications. I will cover those in my next topics.
